Privacy Policy
DRAFT, pending attorney review
Effective date: [DATE]
[LEGAL ENTITY NAME, e.g. "Hope Inc."], a 501(c)(3) nonprofit organization ("Hope," "we," "us"), operates the Sacramento Navigator website and tools (the "Service"). The Service helps people in the Sacramento area find housing, food, health, and other support services. This policy explains what information we collect, how we use it, and the choices you have.
The short version
- You can search for services without creating an account or telling us who you are.
- We do not sell your information. Ever.
- Searches and plan requests are processed by an AI system to generate results.
- We keep as little information as we can, for as short a time as we can.
Information we collect
Search and planning inputs. When you search for services or use the service-plan tool, we receive the words you type and the options you select (for example, the kind of help you are looking for). Please do not enter information that identifies you or someone else, such as full names, Social Security numbers, or health details. The tool works without them.
Usage information. Like most websites, we automatically receive basic technical information such as browser type, device type, pages visited, and the approximate (city-level) location suggested by your IP address. We use [ANALYTICS TOOL NAME, if any] to understand how the Service is used so we can improve it.
Administrator accounts. People who help run the Service (staff and approved partners) sign in with accounts. For them we collect a name, an email address, and login records. Members of the public do not need accounts and we do not offer them.
Messages you send us. If you email us or submit feedback, we receive what you send.
How we use information
- To run the Service: return search results, generate service plans, and keep the site working and secure.
- To improve the Service: understand which kinds of help people look for, so the directory stays useful and current.
- To communicate with administrators and with people who contact us.
We do not use your information for advertising, and we do not sell or rent it to anyone.
AI processing
The service-plan feature uses artificial intelligence. When you use it, your search inputs are sent to a third-party AI provider [AI PROVIDER NAME(S)] to generate suggestions. [CONFIRM WITH PROVIDER AND STATE: whether inputs may be used to train the provider's models.] AI output is generated automatically and can be wrong; see our Terms of Service.
When we share information
We share information only with:
- Service providers that help us operate (hosting, analytics, AI processing), under terms that limit what they may do with it;
- Authorities, if the law requires it or if sharing is needed to protect someone's safety;
- A successor nonprofit, if the Service is ever transferred, under this same policy.
We may share aggregate, de-identified statistics (for example, "housing was the most-searched category this month") with partners and funders. These never identify individuals.
How long we keep information
- Search queries and plan inputs: up to [X DAYS/MONTHS], then deleted or de-identified.
- Usage analytics: up to [X MONTHS].
- Administrator account records: while the account is active, plus [X MONTHS].
[TODD/ATTORNEY: confirm these periods against how the system is actually configured.]
Security
We use reasonable safeguards, including encrypted connections (HTTPS) and restricted administrator access. No system is perfectly secure, which is one more reason we ask you not to enter identifying details.
Children
The Service is a public resource directory and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
Your choices and rights
You can use the core of the Service without providing any personal information. If you believe we hold information about you and want it corrected or deleted, contact us and we will make reasonable efforts to honor your request. California residents may have additional rights under California law. [ATTORNEY: confirm CCPA/CPRA applicability; the nonprofit exemption likely applies.]
Changes to this policy
We will post updates on this page with a new effective date.
